V3 The small print

Privacy policy

What we collect, why we collect it, and what you can do about it. Last updated 1 October 2026.

The short version

  • We only collect what we need to run the community: your email address, and anything you choose to add to your profile or listings.
  • No adverts, no analytics and no tracking. The only cookie we set keeps you signed in.
  • We never sell your data or share it with advertisers.
  • You can change or hide your profile, unsubscribe and delete your account whenever you like.

Who we are

GameDev: MK is a volunteer run, not-for-profit community for people making games in and around Milton Keynes. Our organisers are responsible for the personal data described here, which makes them the data controller. You can reach them about anything on this page at [email protected].

What we collect and why

Your membership

When you join we store your email address and name. Everything else on your profile is optional: a profile picture, a headline, whether you're in industry, an academic, a student or a hobbyist, a short bio, your disciplines, links to your website, itch.io, Bluesky or LinkedIn, and whether you're open to work or collaboration.

We use this to run your membership, sign you in, and show your profile if you choose to.

The people directory

Your profile only appears in the people directory if you tick the box to be listed. When you do, your name, picture, headline, career stage, bio, disciplines, links and availability are public. Your email address is never shown publicly. You can hide your profile again at any time from your account.

The newsletter

If you sign up we store your email address, your first name if you give it, and when you signed up and confirmed. We only start sending once you've clicked the link in our confirmation email, and every newsletter has a one-click unsubscribe link. Members can also switch it on or off from their account.

When you unsubscribe we keep a note of your address marked as unsubscribed, so we don't email you by mistake later. Ask us and we'll remove it completely.

Companies, jobs and claims

Company listings and job adverts are business information that members choose to publish, such as a company's name, location, description, website, logo and banner, or a job's title, salary and description. We also record which member listed or manages a company and who posted each job. That isn't shown publicly.

Job applications go straight to the employer through their own link or email address. We never see them.

If you ask to manage a company that's already listed, our organisers see your name, email address, your role and any message you include, so they can check you really work there.

Pictures you upload

Profile pictures, logos and banners are resized and re-saved when you upload them. This removes hidden details that cameras and phones add to photos, including the location where a photo was taken. Pictures are shown wherever the profile or listing they belong to appears.

Signing in

We don't use passwords. When you sign in we email you a link that works once and expires after 30 minutes. Once you're signed in, a cookie keeps you signed in for 30 days or until you sign out.

Emails we send

We email you sign in links, confirmations, updates about listings, jobs or claims you've submitted, and the newsletter if you've asked for it. Our emails don't contain tracking pixels or tracked links, so we can't tell whether you open them or what you click. Their fonts and images load from our own site.

Keeping the site running

Like any website, our server and Cloudflare, which delivers and protects the site, handle technical details such as your IP address and browser with every request. Our server keeps short logs to help us fix problems, and these can include email addresses when an email fails to send. The logs are limited in size and old entries are overwritten automatically.

Our lawful bases

Under UK data protection law we rely on:

  • Consent for the newsletter and for showing your profile in the people directory. You can withdraw it at any time.
  • Providing the service you signed up for to run your membership, sign you in, and publish the listings and jobs you submit.
  • Legitimate interests in keeping the site secure and working, and in letting organisers check new listings, jobs and claims before they go live.

Cookies

We set one cookie, gdmk_session, which keeps you signed in. It's strictly necessary, so we don't ask for consent, and it's deleted when you sign out or after 30 days. We don't use analytics or advertising cookies. Cloudflare may set its own short lived cookies to protect the site from bots and abuse.

Who can see your data

  • Everyone can see what you choose to publish: a listed profile, company listings and job adverts.
  • Our organisers can see member and newsletter details in the admin area, and can download them to help run the community, for example to send the newsletter. They're volunteers and only use this for running GameDev: MK.
  • The services we use to run the site: Cloudflare, which delivers and protects the site, and our email delivery provider, which sends our emails. They process data on our behalf and nothing else.

We never sell your data, and we don't share it with advertisers or anyone else.

Our Discord server is run on Discord, which has its own privacy policy. Anything you share there is covered by theirs, not this one.

Where your data is kept

Our database and uploaded pictures are stored on a server our organisers run. Cloudflare and our email provider operate internationally, so some data may pass through other countries. Where that happens, we rely on the protections UK law requires for international transfers.

Deleting your account

You can delete your account from your account page. That removes your profile, profile picture, newsletter subscription, any requests to manage a company, and signs you out everywhere.

Companies you listed and their jobs stay up, as they belong to the company rather than to you, but your name is no longer attached to them. Email us at [email protected] if you'd like them taken down too.

Your rights

You have the right to:

  • ask for a copy of the data we hold about you
  • have it corrected if it's wrong
  • have it deleted
  • object to, or ask us to limit, how we use it
  • receive it in a format you can take elsewhere
  • withdraw consent at any time, for example by unsubscribing

Most of this you can do yourself from your account. For anything else, email [email protected] and we'll respond within a month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office.

Children

You need to be 13 or over to become a member or sign up to the newsletter. If you think a child under 13 has given us their details, please let us know and we'll delete them.

Changes to this policy

If we change how we handle your data we'll update this page and the date at the top. If it's a big change, we'll mention it in the newsletter too.
